Qualified Electronic Signature for an Individual affiliated with an Organization

Why is this process needed?
A Qualified Electronic Signature (QES) is the highest level of assurance and is recognised across all Member States of the EU.
For GlobalSign to maintain the status of a Trusted Service Provider, we must comply with EU Regulation No 910/2014, also known as the eIDAS Regulation, and any implementing acts.
The level of assurance and compliance are the reasons the verification requirements are stringent.

Order received
The Order will create a Vetting case which will be assigned to an Agent who will oversee issuing of your certificates.

Initial vetting
The provided information in the order (Organisation name and address) will be verified. Any amendments needed will be done, and a Personal Statement will be emailed to the client.

Personal statement (PS)
The Personal Statement is the official request for an order and our way to log the details we need to verify before issuing the certificate. The Personal Statement will need to be filled out by the individual named in the certificate, providing their personal details (Full name and date of birth), and choosing which ID they will use for verification.

Third Party Validator (TPV)
It is a legal requirement for Third Party Validator to perform an in-person verification of your identity. They will notarise your Personal Statement and ID and countersign your application.
A Third Party Validator can be one of the following:
- Local Government/Municipality
- Latin Notary
- Lawyer
- Certified public accountant ora chartered accountant
- Court Bailiff
Your Vetting Agent will verify your chosen Third Party Validator and their confirmation of the countersignature before accepting this document.
To avoid any delays, please inform your Vetting Agent of your chosen Third Party Validator. We will then preapprove them and be ready to process your order.

Order is confirmed
Once initial vetting has been done, the Vetting Agent will contact the Organisation named in the certificate to confirm the individual’s affiliation with the Organisation and approve the issuance of the order.
The Vetting Agent must do this through one of our Verified Methods of Communication below:
Verified methods of Communication
- A call to your company’s registered telephone number as verified in our independent sources. Your direct number or email address can be confirmed during this call.
- A letter to your company’s registered address, containing a password for you to confirm your order via telephone or email.
- A letter of attestation from a TPV such as a registered Latin notary, lawyer or accountant, confirming an alternative verified method of communication.
- Confirmation signed with a publicly trusted certificate (additional verification may be required).
We are only allowed to use contact details verified in our independent sources. This does not include Google searches or details from your own website.
